How to Estimate Bar Needs for Your Event — A Simple Formula

Planning your wedding bar should feel exciting — not stressful.
One of the most common questions couples ask us is:
“How much alcohol do we actually need?”
Order too little and you risk running out.
Order too much and you’re left overspending.
The good news? There is a simple formula that makes estimating bar quantities much more manageable.
Below is the framework we typically use when guiding our couples.

A Practical Starting Point
These recommendations are based on providing enough volume to ensure service for the entirety of your event. Adjustments may be made depending on guest count, preferences, and service style.
Beer & Seltzers
2–2.5 bottles or cans per guest
This accounts for steady beer drinkers while balancing wine and cocktail consumption.
Wine
1 case (12 bottles) per 30 guests
Split evenly between your selected varietals.
If you’re offering tableside wine service at dinner, you’ll want to increase this amount slightly.
Vodka
1 liter per 12 guests
Vodka is typically one of the highest-consumed spirits at weddings.
Bourbon / Whiskey
1 liter per 15 guests
A strong choice for classic cocktails and neat pours.
Gin
1 liter per 20 guests
Often selected for signature cocktails.
Rum
1 liter per 20 guests
Scotch
1 liter per 20 guests
Champagne Toast
1 bottle per 8 guests
This ensures each guest receives a proper pour for your toast moment.

What Affects These Numbers?
While this formula is a strong starting point, several factors can shift your quantities:
- Guest preferences (Are your friends big wine drinkers?)
- Time of day (Afternoon wedding vs. evening reception)
- Bar style (Full open bar vs. limited menu)
- Signature cocktails
- Tableside wine service
- Event duration
Every guest list is unique — which is why personalization matters.

The Goal: Seamless, Thoughtful Service
When properly planned, your bar should feel:
- Abundant
- Effortless
- Well-paced
- Never rushed
- Never depleted
Behind that seamless experience is careful planning and precise quantity calculation.

Many of our couples choose to have us handle the bar planning entirely — from estimating quantities to our custom bar packages.
It saves time.
It reduces stress.
And it ensures nothing is overlooked.
