A Day in the Life of Our Event Team: Setup → Service → Breakdown

When guests arrive at an event, they see the finished product.
The beautiful tables. The perfectly set bar. The food coming out of the kitchen. The staff welcoming guests and making sure everything runs smoothly.
What they don’t always see is everything that happens before and after those moments.
At Simply Fresh Events, an event day is a full-team effort. From the first truck arriving at the venue to the final piece of equipment being loaded at the end of the night, our event team is working behind the scenes to make sure the experience feels effortless for our clients and their guests.
Here’s a look at what a typical event day can look like.
Before the Guests Arrive: Setup
Long before the first guest walks through the door, our team is already hard at work
.Event day starts with preparation and organization. Equipment, food, beverages, serving pieces, rentals, décor, and all of the other details needed for the event have to arrive at the right place and at the right time.
Once we arrive at the venue, the setup begins.
Tables and service areas are arranged. The bar is prepared. Food stations or buffet areas are assembled. Plated dinner service is organized. Rentals and other event details are put into place.
And then there are all the little things.
Where should each item go? Is everything that was planned for the event here? Does the setup match the timeline? Is the service area ready for the kitchen team? Are we prepared for dietary restrictions and special guest needs?
Our event team works through those details before guests ever see them.
The goal is simple: when guests arrive, everything should feel ready.

When the Doors Open: Service
Then the event begins.
This is where all of the preparation comes together.
Our service team shifts from setup mode to guest experience mode. Depending on the event, that might mean passing hors d’oeuvres, serving a plated meal, managing a buffet, replenishing food stations, bartending, clearing tables, or helping guests navigate the event.
But service is about more than simply delivering food and drinks.
Our team is watching the room.
Are guests enjoying themselves? Does a station need to be replenished? Is someone looking for assistance? Is the timeline moving as planned? Does the client need something?
Good event service often means anticipating a need before a client or guest ever has to ask.
And when everything is going well, our team makes it look easy.
That’s the point.

Behind the Scenes: Communication
While guests are enjoying the event, there is an entire team communicating behind the scenes.
Our producer or event manager keeps an eye on the overall timeline and works with the client, venue, vendors, kitchen, and service team.
The kitchen team is focused on food quality, timing, and presentation.
The service team is focused on guests and the flow of the event.
The warehouse and delivery teams make sure equipment and supplies are where they need to be.
Everyone has a role, but everyone is working toward the same goal: a successful event and a great client experience.
That teamwork becomes especially important when something unexpected happens.
Because at events, something unexpected will eventually happen.
A timeline changes. A guest count shifts. The weather doesn’t cooperate. A vendor runs late. Something needs to be moved or adjusted.
Our job is to adapt, solve the problem, and keep the event moving.

The Final Guest Leaves: Breakdown
Once the celebration is over, our work isn’t finished.
While guests head home, our team begins the process of breaking down the event.
Tables and service areas are cleared. Equipment is gathered. Leftover food is handled appropriately. Rentals are collected. Trash and recycling are addressed. Supplies are packed and loaded.
Depending on the event and venue, breakdown can take considerable time.
It’s not necessarily the most glamorous part of catering, but it’s an important part of what we do.
We don’t just show up, serve dinner, and leave.
We take responsibility for the event from beginning to end.

What You Don’t See Makes a Difference
One of the things we love most about events is that no two days are exactly the same.
A wedding has different needs than a corporate celebration. A cocktail reception looks different from a plated dinner. An intimate gathering requires a different approach than a large-scale event.
But the goal remains the same.
We want our clients to feel taken care of.
We want them to be able to enjoy their event instead of worrying about what needs to happen next.
We want their guests to have great food and a memorable experience.
